Parents Asssociation

The Band Parent Association sponsors and/or supports activities which enhance the HCMS Band Program, and assists the band, its students, its leaders, and the school administration as requested. The Association encourages parents and band students to take active part in creating a positive atmosphere where band members can grow and learn. The Association sponsors fundraising projects to support the band program, and is authorized to assess monetary fees of band students to cover the band program's costs not funded by Huntsville City Schools.

Board Roles and Responsibilities

President: Responsible for overall coordination of the Band Parent Association. Leads band board meetings, parent meetings with Ms. Parker, and communicates with the coordinators to make sure things are on track. Assists coordinators as needed. Drafts the weekly newsletter on the HCMS Band Website and posts notification to parents through Charms and Facebook. Updates HCMS Band Calendar. Organizes parent volunteers as needed for activities throughout the year. Checks in with Ms. Parker, requests forms be completed and checks on the status. Attend as many events as possible.

Vice President: Supports the president by assisting in the responsibilities listed above. Attends band board meetings, parent meetings, and assists in making decisions regarding purchases, trips, etc. Attend as many events as possible. 

Treasurer: Responsible for keeping the financials in order, writes reimbursement checks, updates financials in Charms.

Charms Administrator: Creates Charms accounts for all new HCMS Band students through HCMS class rosters. Creates and distributes Charms IDs at 6th and 7th/8th Grade Parent Meetings. Is the representative for the HCMS Band with Charms database administrator.

Spirit Night Coordinator:  Works with various local restaurants coordinating nights that the band will receive a portion of their sales. Collects funds from the restaurant after the Spirit Night and provides to the Treasurer. Communicates event to HCMS parents via band and school weekly newsletters and Facebook groups.  

Fundraising Coordinator: Coordinates with Ms. Parker and the Band President to organize and communicate fundraisers as needed. Collects money and orders, turns into the company and arranges delivery and pickup. Coordinates volunteer requests through the Band President/Vice President. Provides documentation to Executive board members with names of students who participated as well as how much each student sold for each fundraiser.

Webmaster.  Updates the HCMS Band Website routinely throughout the school year to include performances and fundraisers.

Hospitality Coordinator: Arranges for small reception/gathering after each concert. Coordinates refreshments and works with Band President/Vice President to arrange for Volunteers.

Uniform Committee: Coordinates 7th/8th grade concert uniforms to include distribution of uniforms and collecting payments. Coordinates uniform orders for black band shirts including collecting orders and payments. Places the order with Shortstop for the black band shirts. Distributes orders to students either in class or at a designated time outside of the school day. 

Equipment Logistics Coordinator:  Responsible for hauling the band trailer to/from football games and performances.
